About SaaS Billing Guide

Who we are

SaaS Billing Guide started in 2019 as an internal wiki for a five-person billing team at a subscription analytics startup. We were tired of re-explaining the same Stripe webhook edge cases, dunning sequences, and MRR definitions to every new hire. The wiki grew into a public site after we realized other teams faced the same gaps.

Today we are a small editorial group of four: two former billing engineers, one subscription operations lead, and one editor. We are not a vendor. We do not sell billing software, consulting, or implementation services. Our only product is the guide itself.

Why we exist

Most billing content is written by software vendors to sell a platform. That means the hard parts—proration logic, failed payment recovery, revenue recognition under ASC 606, tax handling for cross-border subscriptions—get smoothed over or framed as features. We write for the person who has to reconcile a Stripe invoice with the general ledger at month-end.

We exist to document what actually happens in subscription billing operations: the edge cases, the trade-offs, and the workarounds that hold up under audit. If a method only works when you buy a specific tool, we say so.

How we work

Every article starts with a real problem one of us has handled. We test the steps against a sandbox account before publishing. When we reference a vendor or a regulation, we link to the primary source. When we are unsure, we mark the gap and follow up.

We update articles when pricing models or tax rules change. Each page shows a last-reviewed date. We do not accept paid placements or sponsored posts, and we do not run affiliate links to billing platforms.

What we cover

  • Subscription billing mechanics: proration, upgrades, downgrades, trials, and cancellation flows.
  • SaaS metrics: how to calculate MRR, ARR, churn, expansion, and net revenue retention without fooling yourself.
  • Payment operations: dunning, retries, chargebacks, and reconciliation.
  • Compliance basics: sales tax, VAT, revenue recognition, and audit trails.

We do not cover enterprise ERP implementation, payroll, or general accounting beyond what touches subscription revenue.

Our team

Maya Chen — Billing engineer. Built and maintained billing systems at two B2B SaaS companies. Writes about webhook reliability and proration.

Derek Okafor — Subscription operations lead. Ran billing ops for a 40,000-subscriber consumer app. Writes about dunning and recovery.

Priya Raman — Revenue accountant. Handles ASC 606 compliance for a mid-market SaaS. Writes about revenue recognition and audit prep.

Sam Torres — Editor. Former technical writer. Makes sure the steps are testable and the claims are sourced.

We are remote and based in the US.

How we make money

We sell a single paid product: a $49 template pack for billing reconciliation and dunning workflows. That is our only revenue. We do not take advertising, sponsorships, or consulting fees. If that changes, we will say so on this page.
